An employee can follow a documented process and still need to ask a colleague what to do next. The missing piece might be a seasonal exception, an unwritten convention, or the reason one store group follows a different rule.
Knowledge has a practical layer
Organisations make real efforts to document what experienced employees know. But a collection of handover documents is only useful when people can find and apply the relevant parts. The challenge is both retention and access.
Vassist connects information across sources so employees can ask questions in their own words. Citations and source previews give them a route back to the material behind an answer.
Make corrections part of using the system
When a designated SME spots an error or missing nuance, they can give that input directly to Vassist. The correction influences future related questions for everyone. This creates a way to capture expertise during everyday use, while the missing detail is still fresh.
That does not mean every answer becomes infallible. It means experts have a direct way to improve the knowledge the system draws on. Teams still need to decide who should contribute and how that responsibility is maintained as processes change.
A useful starting point
Choose a process that generates repeated questions. Bring its documents and relevant visual material into the pilot, then ask an experienced colleague to assess the answers. Pay particular attention to what the documents leave unsaid.
The most valuable addition may be a single sentence that makes an otherwise incomplete answer useful.
